1. Introduction and Who We Are

Meetcanada ("Meetcanada", "we", "us" or "our") operates the website meetcanada.org, an independent, traveler-first guide and comparison platform for guided travel experiences across Canada. We are a small editorial team based in Vancouver, British Columbia, and we rate and compare tours and excursions in all thirteen Canadian provinces and territories, from Rocky Mountain glacier hikes and Yukon Northern Lights expeditions to Tofino whale watching, Okanagan wine routes and Cabot Trail road trips.

This Privacy Policy explains what personal information we collect through meetcanada.org, why we collect it, how we use and protect it, and the choices and rights you have. We are committed to handling personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), the British Columbia Personal Information Protection Act (PIPA), and, for our electronic newsletters, Canada's Anti-Spam Legislation (CASL). By using our website or submitting any form, you acknowledge the practices described in this policy.

2. Information We Collect

We collect only the information we need to respond to you, deliver our content, and improve our travel comparisons. Specifically:

  • Identity and contact details — your name, email address and, where you provide it, a subject line, collected when you submit our contact form, our trip-request form, or subscribe to our newsletter.
  • Message content — the text of any enquiry, trip request or feedback you send us, including travel preferences such as destination, season, group size, duration and budget that you choose to share through our trip-planner quiz or contact form.
  • Newsletter preferences — your email address and subscription status, used to send weekly curated destination spotlights and early-bird deals where you have expressly consented.
  • Technical and usage data — your IP address, browser type, operating system, referring page, and the pages you view on meetcanada.org, collected automatically through server logs and cookies to keep the site secure and understand how it is used.

We do not ask for, and you should not send us, sensitive information such as government identifiers, health data or payment-card numbers. Meetcanada does not process bookings or payments — all reservations are made directly with the third-party tour operators we link to.

3. How We Use Your Information

We use the personal information we collect for the following purposes:

  • To respond to your enquiries, contact-form messages and trip requests, and to provide the comparison-driven guidance you have asked for.
  • To generate curated Canadian itinerary suggestions through our interactive trip-planner quiz based on the travel style, group, season and budget you provide.
  • To send our weekly travel newsletter, destination spotlights and early-bird deals, but only to subscribers who have given express consent under CASL.
  • To maintain, secure and improve meetcanada.org, diagnose technical problems and protect against fraud, abuse and malicious activity.
  • To analyse aggregated, non-identifying usage trends so we can improve our regional guides, ratings and seasonal articles.
  • To comply with our legal obligations and to enforce our Terms of Service.

4. Consent and Legal Basis (PIPEDA)

Under PIPEDA, we collect, use and disclose personal information only with your knowledge and consent, except where the law permits or requires otherwise. When you submit a form, you provide express consent for us to use the information you supply to respond to you. For our newsletter, we rely on your express opt-in consent and include a clear unsubscribe mechanism in every message, as required by CASL. For necessary, security-related processing of technical data, we rely on our legitimate business interest in keeping the website safe and functional. You may withdraw your consent at any time, subject to legal or contractual restrictions, by contacting us at the address in Section 11.

5. Affiliate Relationships and Disclosure of Information

Meetcanada operates as an independent affiliate publisher. We may earn a commission when you follow a link from our site and book with a featured tour operator or travel provider. Affiliate compensation may affect the placement order of listings, but it never influences our editorial star ratings, traveler reviews or safety warnings. Importantly, when you click an affiliate link and complete a booking on a provider's own website, any personal or payment information you enter there is governed by that provider's privacy policy, not ours — we do not receive your booking or payment details.

We do not sell, rent or trade your personal information. We disclose it only in these limited circumstances:

  • Service providers — our website hosting provider and email service provider, who process data on our behalf and only as needed to operate meetcanada.org.
  • Legal requirements — where disclosure is required by Canadian law, a court order, or a lawful request from a government authority.
  • Protection of rights — where reasonably necessary to investigate, prevent or respond to fraud, security incidents or violations of our Terms of Service.

6. Data Retention and Security

We keep personal information only as long as necessary to fulfil the purposes for which it was collected. Contact-form and trip-request submissions are retained for up to twenty-four (24) months and then securely deleted; newsletter records are kept until you unsubscribe; and server log and cookie data are retained for up to twelve (12) months. We protect your information using appropriate technical and organizational safeguards, including TLS/SSL encryption in transit, restricted access to submission records on a need-to-know basis, and storage of form submissions in a protected file that is not publicly accessible. While no method of transmission over the internet is completely secure, we work to protect your information and review our practices regularly.

7. Your Privacy Rights

Under PIPEDA and applicable provincial legislation, you have the right to:

  • Access the personal information we hold about you and be told how it has been used and to whom it has been disclosed;
  • Request correction of inaccurate or incomplete personal information;
  • Withdraw your consent to our use of your information, subject to legal or contractual limits;
  • Unsubscribe from our newsletter at any time using the link in each email;
  • Request deletion of your personal information where we are no longer required to retain it; and
  • Make a complaint to us and, if unsatisfied, to the Office of the Privacy Commissioner of Canada.

To exercise any of these rights, email us at hello@meetcanada.org. We will respond within thirty (30) days as required by PIPEDA, and we may need to verify your identity before acting on a request.

8. Cookies

Meetcanada uses a small number of cookies and similar technologies to remember your consent choices and keep the site working correctly. We do not use cookies to build advertising profiles of you. 9. International Visitors and Cross-Border Transfers

Our audience is both international and domestic. If you access meetcanada.org from outside Canada, please be aware that your information will be processed in Canada, where data-protection laws may differ from those in your country. Where our service providers store or process data outside Canada, we take reasonable steps to ensure a comparable level of protection consistent with PIPEDA. By using our website, you consent to the transfer of your information to Canada for the purposes described in this policy.

10. Children's Privacy

Meetcanada is intended for adult travelers and is not directed at children under the age of majority in their province or territory of residence. We do not knowingly collect personal information from minors. If you believe a child has provided us with personal information, please contact us and we will delete it.

11. Changes and Contact

We may update this Privacy Policy from time to time to reflect changes in our practices or the law. When we make material changes, we will revise the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of meetcanada.org after an update constitutes acceptance of the revised policy.
